First, thank you for considering helping out! We are most grateful to you! Here are the principal jobs for which we are seeking volunteers (please see below). We especially need help for jobs (6), (7), (8), (9), and (10)!
(1) Planning (planning menu and activities, setting up event planning meeting dates and times) (2) Advertising (creating posters, tickets, and ads for the bulletin) (3) Ticketing (distributing tickets after each Mass + keeping a running total of tickets handed out; again, the purpose of the tickets is only to get a head count for food!) (4) Keeping an inventory of equipment (compiling a list of all that is needed for the event, such as paper goods, food, and equipment, and then reporting back to the planning committee) (5) Shopping (taking the shopping list supplied by the planning/inventory committees and shopping for these items) (6)Activities/games planning (planning activities and games for all ages set up in a safe area for all to enjoy, or supervising the activities/games area) ( 7) Setting up (tables and chairs in the halls, buffet table with chafing dishes, preparation tables for cooking; some of the set up can be done a few days prior to the event while some will need to be done on the the day of the event) (8) Cooking and serving (some cooking may be done prior to the event by volunteers making up dishes at home, but most will be done on the day of the event; servers will be serving at the buffet line and maintaining portion sizes to make sure all have enough to enjoy!) (9) “Floaters” (replenishing food in the buffet line, drinks, etc. from the kitchen; also relieving the cooks so that they also have a moment to eat) (10) Cleaning up (completely cleaning the hall/kitchen, breaking down the buffet line, packing up left overs, putting away chairs and tables, bringing all washable dishes and pans to the kitchen to be cleaned, breaking down the activity area)
